Reports & Analytics Guide

Reports & Analytics Guide

Overview

DSP Ops Center includes a suite of reporting and analytics tools to help you understand the health of your operation. The analytics dashboard provides visual trend data across onboarding, retention, attendance, and performance. The reports module generates actionable lists — birthdays, anniversaries, and employees with missing information — to keep your team organized and compliant.

Dashboard Analytics

Accessing Analytics

Navigate to Dashboard in the sidebar, then click Analytics.

Who can access this? The analytics dashboard is available to any user whose role includes permission to view employee records. In most setups, this means Admins and Lead Managers. If you do not see the Analytics option in your sidebar, ask your Admin to check that your role has employee viewing permissions enabled.

The onboarding chart shows your hiring pipeline throughput over time. This visualization helps you answer questions like:

  • How many employees moved through onboarding each month?
  • Are there bottlenecks in the pipeline?
  • Is hiring volume increasing or decreasing?

Use this data to identify periods of high onboarding activity and plan staffing for your HR and training teams accordingly.

Retention Metrics

The retention section tracks hire and termination rates across your team over time. This gives you a clear picture of employee turnover and workforce stability.

Key details:

  • Hire rate — Number of new hires per period.
  • Termination rate — Number of separations per period.
  • Net change — The difference between hires and terminations.
Note: If your DSP imported employee records in bulk when first setting up DSP Ops Center (for example, migrating from a spreadsheet or another system), those imported records are excluded from retention calculations. This prevents a large one-time import from appearing as a spike in hiring activity and keeps your trends accurate going forward.

Attendance Patterns

The attendance analytics chart displays incident frequency and trends over time. This helps you identify:

  • Seasonal patterns in attendance issues (e.g., holidays, weather events).
  • Whether attendance is improving or deteriorating across the team.
  • Periods that may require additional staffing or schedule adjustments.

Performance Distributions

The performance section shows how your team's scorecard rankings are distributed. Rather than looking at individual scores, this view gives you a team-wide perspective:

  • How many employees fall into each performance tier.
  • Whether the distribution is shifting up or down over time.
  • Outliers who may need coaching or recognition.

Time Range Selectors

All analytics charts support three time range views:

RangeDescription
3 monthsShort-term trends, useful for spotting recent changes
6 monthsMedium-term view, captures seasonal patterns
12 monthsFull-year perspective for strategic planning

Click the time range buttons above the charts to switch between views. All charts on the page update simultaneously.

Interactive Charts

Hover over any data point on a chart to see a detailed tooltip with exact values, dates, and breakdowns. The charts are built with interactive elements so you can explore the data without exporting it.

Reports

Accessing Reports

Navigate to Reports in the left sidebar. The reports page provides tools for generating, saving, and scheduling recurring reports.

Report Types

DSP Ops Center includes three built-in report types:

Birthday Report

Generates a list of employees with upcoming birthdays. Use this to plan team celebrations, send recognition messages, or coordinate gift cards and other acknowledgments.

The report includes:

  • Employee name
  • Birthday date
  • Days until birthday

You can filter by date range to see birthdays within a specific window (e.g., next 7 days, next 30 days).

Anniversary Report

Generates a list of employees with upcoming work anniversaries. This is useful for milestone recognition programs and retention efforts.

The report includes:

  • Employee name
  • Start date
  • Anniversary date
  • Years of service

Filter by date range to plan ahead for upcoming milestones.

Missing Info Report

Generates a list of employees with incomplete records. This is one of the most valuable reports for maintaining data quality and compliance across your team.

The missing info report checks eight categories for each employee:

CategoryWhat It Checks
BirthdateWhether a date of birth is recorded
Start DateWhether an employment start date is recorded
Driver LicenseWhether a valid driver license is on file
SSN / Birth CertificateWhether identity verification documents are on file
Drug TestWhether a current drug test record exists
Offer LetterWhether a signed offer letter is on file
HandbookWhether the employee handbook has been acknowledged
PoliciesWhether all required policy documents have been signed

The report lists each employee with incomplete records and specifies exactly which categories are missing. This makes it easy to prioritize follow-ups and delegate tasks to your HR team.

Running a Report

  1. Navigate to Reports in the sidebar.
  2. Select the report type from the available options (Birthday, Anniversary, or Missing Info).
  3. Configure filters — Set date ranges, employee groups, or other parameters depending on the report type.
  4. Click Generate to run the report.
  5. Review the results on screen.

Saved Presets

If you run the same report regularly with the same filters, you can save a preset to avoid reconfiguring each time.

  1. Configure your report with the desired filters.
  2. Click Save Preset.
  3. Give the preset a descriptive name (e.g., "Next 30 Days Birthdays" or "Missing Compliance Docs").
  4. The preset appears in your saved list for one-click access.

Presets can be edited or deleted at any time.

Tip: Saved presets remember the exact filters you had set when you saved them. If you change filters after loading a preset, those changes are not automatically saved back to the preset. To update a preset with new filters, save it again with the same name or delete the old one and create a new preset.

Scheduled Reports

For reports you need on a recurring basis, set up automatic scheduling with email delivery.

  1. Configure the report and filters.
  2. Click Schedule Report.
  3. Set the frequency (daily, weekly, or monthly).
  4. Enter the recipient email addresses — multiple recipients can be added.
  5. Click Save Schedule.

Scheduled reports are generated automatically at the configured frequency and delivered to the specified email addresses. You can pause, edit, or delete a schedule at any time from the Reports page.

Export Options

All reports can be exported for offline use or sharing:

  • CSV — Spreadsheet-compatible format for Excel or Google Sheets.
  • PDF — Formatted document suitable for printing or email distribution.

Click the Export button after generating a report, then select your preferred format.

Best Practices

  • Review analytics monthly — Use the 3-month view for tactical decisions and the 12-month view for strategic planning.
  • Run the missing info report weekly — Gaps in employee records can lead to compliance issues. Catching them early is significantly easier than resolving them retroactively.
  • Schedule recurring reports — Automate birthday and anniversary reports so you never miss an opportunity to recognize your team.
  • Share retention data with leadership — Turnover trends are critical for workforce planning and budgeting. Export the retention data for leadership reviews.
  • Use analytics to spot problems early — A spike in attendance incidents or a downward shift in performance scores can signal operational issues before they become critical.
