DSP Chat Integration Guide

Overview

DSP Ops Center integrates with DSP Chat to deliver real-time notifications directly to your team. Instead of relying solely on email or SMS, critical operational updates — schedule publishes, shift reminders, inspection alerts, and more — appear as direct messages in DSP Chat, where your team is already communicating.

This integration ensures that time-sensitive information reaches employees immediately and reduces the risk of missed notifications.


Setup

Configuring the Connection

To enable DSP Chat integration:

  1. Navigate to Admin > Settings in the sidebar.
  2. Locate the DSP Chat integration section.
  3. Enter the following:

Service TokenA special password that lets DSP Ops Center send messages to your DSP Chat. This is provided during your DSP Chat setup — copy and paste it exactly as given.
  1. Click Save.
  2. Click Test Connection to verify that DSP Ops Center can communicate with your DSP Chat server.

If the test succeeds, the integration is active and notifications will begin flowing automatically.

Tip: The most common cause of a failed connection test is a typo in the URL or token. Copy and paste these values directly from your DSP Chat setup rather than typing them by hand.
Note: Both DSP Chat and DSP Ops Center are products of DSP Platform. If you are on the DSP Platform bundle plan, your Chat server URL and service token were configured during provisioning and may already be set up.

Notifications Sent via DSP Chat

Once the integration is active, DSP Ops Center sends the following notifications through DSP Chat:

Schedule Published

When an admin publishes a weekly schedule, every employee who has shifts on the published schedule receives a direct message in DSP Chat. The notification includes:

  • The week being published.
  • A summary of the employee's scheduled shifts.
  • A link to view the full schedule.

This ensures employees are immediately aware of their upcoming shifts without needing to check DSP Ops Center manually.

Shift Reminders

DSP Ops Center sends automatic shift reminders at two intervals:

Reminders are checked and sent automatically every 30 minutes. Each reminder includes the shift date, start time, end time, and assigned position.

For example, a shift reminder might look like this in DSP Chat:

Inspection Reminders

For fleet operations, DSP Ops Center sends inspection reminders to employees who have not completed their required daily vehicle inspection. Reminders are sent:

  • Hourly between 10:00 AM and 8:00 PM Central Time (CT).
  • Only to employees with overdue inspections for the current day.
Timezone note: These times are set to Central Time (CT). If your DSP operates in a different timezone, reminders will arrive at the equivalent local time (for example, 10:00 AM CT is 8:00 AM PT or 11:00 AM ET).

This persistent cadence ensures that inspections are completed before the end of the operational day.

Fleet Daily Digest

A daily fleet summary is posted to the designated fleet channel in DSP Chat at 7:00 AM Central Time (CT) each day. The digest includes:

  • Vehicle status overview (active, in shop, out of service).
  • Vehicles with upcoming or overdue maintenance.
  • Inspection completion rates from the previous day.
  • Any vehicles flagged for attention.

This gives fleet managers and dispatchers a quick operational snapshot at the start of each day.

Performance Scorecards

When new performance rankings are posted, employees receive a direct message in DSP Chat notifying them that updated scores are available. The notification includes a unique private link to view their scorecard — no login required.

Onboarding Updates

As new hires move through the onboarding pipeline, stage transitions trigger team notifications in DSP Chat. This keeps hiring managers and HR staff informed about onboarding progress without requiring them to check the Kanban board constantly.


How It Works

Message Delivery

All DSP Chat notifications from DSP Ops Center are delivered as direct messages (DMs) from an automated bot account. Messages come from this bot, not from a real person, and it is clearly labeled so your team knows the message is an automated notification. This means:

  • Notifications appear in the employee's DM list in DSP Chat.
  • Messages are private to the recipient — other team members cannot see another employee's notifications.
  • The bot account is clearly identified so employees know the message is automated, not sent by a manager or coworker.

Employee Chat ID Requirement

For DSP Ops Center to send notifications to an employee via DSP Chat, the employee must have a DSP Chat User ID linked in their employee profile.

To link a Chat ID:

  1. Navigate to Employees and open the employee's profile.
  2. Locate the DSP Chat User ID field.
  3. Enter the employee's user ID from DSP Chat. (Your DSP Chat administrator can help you find employee Chat IDs. They are typically found in DSP Chat's Administration > Users section.)
  4. Click Save.
Important: The schedule publishing process includes a validation step that checks whether all scheduled employees have a DSP Chat User ID. If any scheduled employees are missing a Chat ID, you will be notified before publishing so you can resolve the issue. Employees without a Chat ID will not receive schedule notifications.

DSP Chat User Sync

Chat User IDs are currently maintained manually. There is no automatic sync between DSP Ops Center and DSP Chat, so you will need to update Chat IDs yourself when changes occur. Make sure DSP Chat User IDs are up to date when:

  • New employees are added to DSP Ops Center.
  • New accounts are created in DSP Chat.
  • Employees are terminated or deactivated.

Maintaining this link ensures notifications reach the right people and are not sent to inactive accounts.


Troubleshooting

If notifications are not being delivered through DSP Chat, work through the following checklist:

1. Test the Connection

Navigate to Admin > Settings and click Test Connection on the DSP Chat integration. If the test fails:

  • Verify the Server URL is correct and the DSP Chat server is running.
  • Verify the Service Token has not expired or been rotated.
  • Check that your network allows outbound connections to the DSP Chat server.

2. Verify Employee Chat IDs

If the connection test passes but specific employees are not receiving notifications:

  • Open the employee's profile in DSP Ops Center.
  • Confirm that the DSP Chat User ID field is populated.
  • Verify the ID matches an active account in DSP Chat.

3. Check the DSP Chat Server

If the connection test passes and Chat IDs are correct:

  • Confirm the DSP Chat server is online and accepting connections.
  • Check the DSP Chat server logs for any errors related to incoming messages.
  • Verify the service account used by DSP Ops Center has not been disabled in DSP Chat.

4. Check Notification Timing

Some notifications are sent on a schedule, not immediately:

  • Shift reminders are processed periodically. There may be a short delay between the reminder window opening and the message being sent.
  • Inspection reminders are sent hourly between 10:00 AM and 8:00 PM Central. Outside these hours, no reminders are sent.
  • Fleet daily digest is sent at 7:00 AM Central. If the system is under heavy load, the digest may arrive slightly later.

5. Contact Support

Scheduled notifications (shift reminders, inspection reminders, fleet digest) are sent by an automated background process. If none of these scheduled notifications are being delivered, contact DSP Platform support for assistance.

Best Practices

  • Link Chat IDs during onboarding — Add the DSP Chat User ID to each employee's profile as part of your onboarding checklist. This ensures they start receiving notifications from day one.
  • Audit Chat IDs monthly — Run a quick check to ensure all active employees have valid Chat IDs linked. Employees added outside the normal onboarding flow may be missed.
  • Use the pre-publish check — When publishing a schedule, pay attention to the validation warning about missing Chat IDs. Resolve these before publishing to ensure full coverage.
  • Monitor the fleet channel — The daily fleet digest is most valuable when someone reviews it each morning. Assign a fleet manager or dispatcher to review the digest and follow up on flagged items.
  • Test after credential changes — If your DSP Chat server URL or service token changes, update the settings in DSP Ops Center immediately and run the connection test to confirm.
